Expert Facility Management

The Expert Facility Management will be responsible for overseeing all aspects of facility management, both operational and tactical, ensuring that all services and processes support the core business of the organization. This role demands a strong hands-on mentality, excellent customer service skills, and a pragmatic approach to problem-solving. The successful candidate will also manage procurement responsibilities related to indirect procurement for facility management.

This role is part of the Facility Team. The Facility Team ensures a safe, efficient, and welcoming environment by managing building maintenance, office supplies, workspace organization, and vendor relationships. They play a vital role in supporting daily operations, coordinating repairs, optimizing space usage, and implementing health and safety protocols to enhance productivity and comfort across the organization. Additionally, the expert leads sourcing activities for indirect spend categories to achieve significant cost reductions while maintaining or improving product quality and supplier service levels.

What does this role entail?

Operational Facility Management

  • Manage office supplies, including ordering and maintaining inventory.
  • Coordinates the maintenance of all staff telephones and Video Conference systems in the building
  • Support external exper on Technical maintenance (like climate control system, electra)
  • Oversee daily operations of facility management services, ensuring high standards of maintenance, safety, and efficiency.
  • Coordinate and supervise the work of external contractors and service providers, excluding janitorial services.
  • Conduct regular inspections of facilities to identify and resolve issues promptly.
  • Ensure compliance with health, safety, and environmental regulations.
  • Handle internal requests, support internal relocations, set up workstations, and prepare meeting rooms on a project basis. 
  • Fleet management of company lease cars and reporting
  • Handle administrative duties related to facility management, such as maintaining records, processing invoices, coordinating service requests, and managing documentation.
  • Coordinates and supports KDDE facility to manage our German office (BOG) 

Tactical Facility Management

  • Develop and implement facility plans and projects such as renovations, reconfigurations, or introducing new facilities.
  • Create and manage the facility budget, identifying cost-saving opportunities without compromising quality and efficiency.
  • Develop long-term preventive maintenance and capital improvement plans to extend the lifespan of the facilities and equipment and avoid unnecessary downtimes.
  • Initiate and support sustainability efforts within facility services, such as waste management, energy efficiency, and green initiatives.
  • Analyze and report on facility performance metrics to management.
     

 Supplier Management 

  • Manage the procurement of indirect goods and services related to facility management, including negotiating and contracting with suppliers and vendors.
  • Source and evaluate suppliers to ensure the best value for the organization.
  • Oversee contract management and ensure compliance with terms and conditions.
  • Develop and maintain strong relationships with key suppliers and stakeholders.
  • Reporting on Purchase volumes by supplier
  • Assess corporate current and future needs, assess market trends and supply base
  • Actively lead preparation of offers and tenders
  • Identify and target attractive spending areas for review 
  • Reporting on the development of cost savings
  • Support manager to develop EMEA procurement possiblities.

Your knowledge and skills

  • University of applied Sciences Degree (HBO) in a relevant field such as Facility Management, Business Administration, or equivalent
  • 5+ years of experience in a similar facility role, preferably within an office environment
  • Proven experience in Project Management
  • Good negotiation skills
  • Experience working with MS Office (Outlook, Word, Excel, PowerPoint) 
  • Advanced knowledge of the Dutch and English languages
  • Experience working in an international environment is a plus
