The Expert Special Pricing will manage, develop and coordinate Sales back-office activities related to Special Pricing. This role aims to add value by offering Sales Backoffice services to internal & external customers (approx. 18 subsidiaries and 60+ International partners) in the EMEA region. The expert aims high by challenging and optimising each Sales Operation process to maximize the effectiveness and efficiency of the Department and deliver above-and beyond-services. And by identifying and anticipating our customers' needs to maximize customer satisfaction.
This role exists out of credit management, provision calculations and special pricing management
- Control and approve Special Pricing credit note requests submitted by subsidiaries (in and outside Bizagi) in full adherence to KDEM guidelines and procedures and issue credit notes when required.
- Coordinate and actively communicate with all relevant departments at KDC, KDEM, SC’s and with KDIS Management.
- Support KDEM-G stakeholders on SPS processes and procedures.
- Prepare the KDEM-G Special Pricing Credit Note Requests and submit them to KDEM Finance and KDC.
- Control the accuracy of the monthly SAP automated claim review process and ensure exceptions are being handled adequately.
- Support internal and external auditors' queries related to management and Claims
- Responsible for timely collection and review of the provision information submitted by all KDEM-G subsidiaries and the additional provisions sent by RSM based on LBU’s.
- Calculate the positive Sales provision in full adherence to special pricing agreements in place with KDC, consolidate with the negative Sales provision and deliver the consolidated information to KDEM Finance after performing an integrity check.
- Create and submit the claims to KDC for the KDEM Provision and act as backup for KDIS Provision.
- Follow up positive and negative Sales Provision lists and reconcile the actual values of the credit notes issued and/or received.
- Analyse any discrepancies identified during the reconciliation process and submit the findings to Finance.
- Support communication with the Finance, KDC, and Sales departments during the monthly cycle of the process.
- Responsible for maintenance and updates of the Provision template’s formulas and its update with the latest tender list.
- Manage the Sales Special Pricing Registration process (Tender & Promotion) and ensure all information submitted in our price approval tool (Bizagi) is complete, accurate, and follows the KDEM guidelines and procedures.
- Ensure all relevant Special Pricing Requests are communicated timely/accurately to KDC, regularly follow up the progress and update KDC approved prices in Bizagi SPA requests once review is completed.
- Manage, optimise and/or support Special Pricing related Business Processes.
- Communicate actively with all relevant departments at KDC, KDEM, SC’s & with KDIS Partners and ensure regular updates are shared with all stakeholders.
- Support the reconciliation of the SAP Tender Pricing Database.
The ideal candidate will exhibit strong collaboration, a drive to change, a performance drive, and customer focus, ensuring efficient handling of special pricing requests. This role requires accuracy, excellent communication skills, and the ability to work independently while managing optimal processes creatively. The Special Pricing Specialist possess a strong understanding of administration and is highly detail-oriented. In addition, the expert is proactive in problem-solving and capable of driving impactful pricing strategies that support business goals.
- Minimum education MBO+ or equivalent
- 3+ years of experience in a similar position (Sales Operations / Back office)
- Good understanding of administration, accounting and financial processes (Billing, Accrual, GP, Operational and Finance Lease)
- Excellent knowledge of SAP & MS Office (Excel, PowerPoint, Word)
- Excellent knowledge of Business English language (written and spoken)
- Experience working in an international work environment
